  • Job Summary

    The Executive Assistant/Personal Assistant functions as an integral and indispensable member of the Partner’s team providing advanced administrative support and projecting a professional extension of the team; exercises excellent judgment in organizing and prioritizing their own, and the team’s activities/calendars; drafts correspondence; understands, anticipates, and follows through on all items needing attention; demonstrates initiative and positive attitude

    Duties & Responsibilities

    • Compiles and prioritizes Partner’s daily calendar including activities, calls, meetings, all items needing attention
    • Answers team phones and takes messages
    • Exercises good judgment in assisting with managing Partners’ voice and/or email messages
    • Maintains and updates team master calendar including scheduling client meetings and other business related appointments
    • Books all travel arrangements including flights, hotels, rental cars
    • Responds to and initiates email correspondence with clients, team members, and others
    • Plans and coordinates a variety of events
    • Purchases team and client gifts consistent with the Partners’ and/or Operations Manager’s instructions
    • Reconciles and processes team credit card
    • Anticipates upcoming decisions that need to be made; exercises good judgment if a team member needs to be involved in the decisions
    • Maintains organization and follows up on numerous team matters such as annual reviews, meetings
    • Tracks and ensures a variety of Partners' items are up to date including driver’s license, passport, conceal and carry permits, hunting permits
    • Tracks and ensures personal insurance policies are up to date, and adding/removing coverage as necessary
    • Registers vehicles and helps maintain order for vacation properties and farms
    • Ensures all Apple devices are updated, and assists with troubleshooting issues
    • Communicates with a variety of board members (Great Rivers Habitat Alliance, etc.) to ensure all meetings are on the calendar, directories are updated, and board minutes are saved
    • Assists with family pets’ wellbeing such as feeding, letting them outside etc.
    • Helps with catering orders for events hosted by Partner
    • Assists with event planning, including being the lead contact for all vendors associated with planning personal events
    • Travels to private hunting clubs to maintain proper inventory levels for hosting guests
    • Assists with a variety of personal errands such as pharmacy orders, lunch, groceries etc.
    • Updates family members on travel agendas and other miscellaneous items
    • Handles confidential and non-routine information
    • Fosters an environment of open, honest, and timely communication

    Qualifications

    • Associate’s or Bachelor’s degree preferred
    • Five years or more Administrative Assistant experience, including Executive/Personal Assistant experience, preferred
    • Proficient in Microsoft Office applications
    • Ability to handle multiple tasks with little or no supervision
    • Ability to represent the team in a highly professional manner
    • Excellent written and verbal communication skills
    • Work experience that demonstrates interpersonal and teamwork skills
    • Must be organized, meticulous, detail-oriented and able to multitask
    • Ability to interact well with all clients/employees/vendors/others
