  • Job Summary

    We need a professional, enthusiastic, and energetic Executive Assistant to support one of our Partner teams and their business development efforts. This Executive Assistant will have an evolving role on the team that will expand with their abilities. We seek someone with an enthusiastic personality that will keep the Partners organized and focused throughout the day and week. This Executive Assistant will need to communicate across all levels of the team and will need to be responsive to both Team and Partner needs. There is also a Personal Assistant aspect to this role. This is an integral part of this team and will keep this team functioning at an extremely high level.

    Duties & Responsibilities

    • Compiles and prioritizes Partner’s daily calendar including all activities, calls, meetings and other items needing attention
    • Manage calendars for all Partners on team
    • Manage emails and voicemails for each Partner to ensure timely response
    • Write letters, thank you notes, emails, and other correspondence on behalf of Partners
    • Take a proactive approach to the Partners’ day by helping them stay focused on the task at hand
    • Handle high level personal items like wiring funds
    • Track and report on CE and licenses of Partners
    • Manage and report team’s expenses
    • Coordinate team meetings
    • Plan, coordinate, and manage Client Appreciation events
    • With supervision of Partners, organize and track business development
    • Organize and manage prospect information in CRM
    • Develop an in depth knowledge of CRM
    • Produce reporting on business development activity
    • Coordinate distribution of marketing materials
    • Meet with Partners bi-weekly to discuss business development activity
    • Manages projects for Partners
    • Strategize with Partners on effective business development
    • Prepare Partners and Advisors for prospect meetings, including scheduling
    • Ability to adjust to job’s changing requirements and needs as the role evolves
    • Foster an environment of open, honest, and timely communication
    • Ensure the ‘How’ and ‘Why’ of Moneta and Team are incorporated into the execution of duties and responsibilities of the position

     

    Personal Assistant Responsibilities

    • Coordinate work and personal calendars on Outlook and Gmail
    • Coordinate work and personal contacts on Outlook and Gmail
    • Prioritize and coordinate work and personal to do’s
    • Write personal letters, thank you notes, emails, and other correspondence either from dictation or self-driven
    • Proactively asks if follow up note is required after events
    • Book and schedule travel
    • Property management
    • Supports bill pay

    Qualifications

    • Bachelor’s Degree preferred
    • Proficient in Microsoft Office applications
    • Ability to multi-task
    • Ability to work autonomously
    • Ability to work independently in ambiguous situations
    • Strong organizational skills
    • High attention-to-detail
    • Excellent writing skills
    • Demonstrates flexibility as role evolves
    • Work experience that demonstrates interpersonal and teamwork skills
    • Professional attitude, demeanor, and appearance
