Executive Assistant

Job Summary

A growing Moneta Client Service Team seeks an energetic and enthusiastic Executive Assistant to support the team’s Partners and members.  The Executive Assistant is a critical member of the Client Service Team who will provide exceptional service in all interactions throughout the team and anticipate the growing needs of the role.  This Executive Assistant will exercise excellent judgment in organizing and prioritizing their schedule and Partners’ calendars.  A candidate who is proactive, enthusiastic, and detail-oriented will make an excellent match for this role.  


In this role, the Executive Assistant will be responsible for drafting correspondence, anticipating and understanding the Partners’ needs, and following through on all items needing attention.  An Executive Assistant with strong initiative and a positive attitude will make a large impact on this Client Service Team and Moneta as a whole.

Duties & Responsibilities

  • Compiles and prioritizes Partners’ daily calendars including activities, calls, meetings, and all items needing attention
  • Prepares Partners and Advisors for prospect and client meetings, including scheduling
  • Manages professional emails & voicemails for each Partner to ensure timely response
  • Exercises good judgment in assisting with managing voicemail and email messages for the Partners
  • Maintains and updates the Partners’ calendars including scheduling meetings and other business-related appointments
  • Books all travel arrangements including flights, hotels and rental cars for professional travel
  • Tracks and reports on CE and licenses for Partners
  • Collects receipts and expenses monthly
  • Anticipates upcoming decisions that need to be made
  • Maintains organization and follows up on various team matters
  • Greets clients and visitors when necessary
  • Plans and implements communication pieces to clients and prospects, including coordination of all team bulk mailings
  • Assists with marketing and educational materials, professional bios, website content and other communication
  • Ability to adjust to the role’s changing requirements and needs as they evolve
  • Maintains a high level of confidentiality in all interactions
  • Ensures the ‘Why’ of Moneta are incorporated into the execution of duties and responsibilities of the position
  • Coordinates work and personal calendars on Outlook and Gmail
  • Prioritizes and coordinates work and personal to-dos
  • Assists with a variety of personal errands if necessary
  • Maintains Partners’ personal calendars to ensure there are no business conflicts
  • Connects with Partners for follow-up after personal and professional events


  • Associates or Bachelor’s degree preferred
  • Five years or more Administrative Assistant experience, including Executive/Personal Assistant experience preferred
  • Proficient in Microsoft Office applications, especially Microsoft Excel
  • Knowledge of social media websites including LinkedIn
  • Ability to multi-task
  • Ability to work autonomously
  • Ability to represent the firm in a highly professional manner
  • Excellent written and verbal communication skills
  • Work experience that demonstrates interpersonal and teamwork skills
  • Must be organized, meticulous and detail-oriented
  • Professional attitude, demeanor and appearance
